Email Templates
LeadLoop allows you to compose and store standardized email templates for use anywhere along your Pipeline.
For your most commonly used communications and requests to clients, this helps both streamline and standardize your follow up processes.
Email Templates often include:
- Acknowledgements
- Confirmations
- Scheduling information
- Requests for Information
- Requests for a Review after services are completed/delivered.
To Load and Use a Template
To load and send an email template:
- Open any lead you wish to reach out to in Expanded View.
- Choose “Compose Email” (bottom)
- Select “Template” (top right)
- Choose the Template you wish to use from the dropdown menu.
- Send the email as-is, or revise it to better suit your needs. Changes made here won’t change the template itself.
Best Practices
- Standardize Language: Name email templates using language your whole team will recognize: “Insurance Info,” and “Set Appointment” are good examples.
- Start With Keywords: Place “Keywords” at the front, not end, of Template names: “Insurance Request” is likely a better name than “Request for Insurance.”
- Suit Templates to the Majority of Use-Cases: Create Templates that are best suited to the majority of your leads and your closing cycle: You can tweak each use of a template prior to sending it, without affecting later uses of the template.
- Reveiew Occasionally: Review Email Templates from time to time to determine if tweaking them would improve their effectiveness.
- Clarity is Key: Not all emails require an answer, but if you’re anticipating a reply, it’s often helpful to say so.
To Create a New Email Template
- Click your User Icon in the upper right corner.
- Select Settings.
- Select Template.
- Click Add Template.
- Craft yout Template: Give it a name, assign it to a location (if applicable), and choose whether it is an Email, Text, or Intake template.
- Write and format the email as you’d like it to appear each time you send it. The template allows rich text formatting, media, attachments, hyperlinks, emojis, and dynamic data.
- Click Save.
Dynamic Data Fields
Dynamic data fields are information placeholders, designed to change each time you select and use an email template.
For example, rather than typing in the names of your lead and their service provider, fields that reflect these unique data can be inserted directly into your email template.
LeadLoop will automatically insert the right data, reflecting the data you’ve already entered for a lead, their service date, service provider, etc.

A wide variety of dynamic data fields are available to use in your email templates:
- Client’s first name: “Dear Joe,”
- Client’s last name: “Dear Mr. Jones,”
- Client’s full name: “Mr. Joe Jones,”
- User’s first name: “This is Morgan from WTG Inc.”
- User’s full name: “This is Morgan Jones from WTG Inc.”
- Service name: “We have you scheduled for Consulting.”
- Service value (cost): {{service_value}}
- Service provider name: “...with Mr/Dr/Esq. Jones.”
- Service location name and address: “Mirrox Co., 1220 Easy St., Suite 2”
- Appointment Date and Time: “...on December 12th at 3:00 PM”
- and many more.
